Photograph Duplication and Use Policy
The University Archives photographic holdings consist almost exclusively of unique images. In a few rare cases, the holdings include both a camera negative and print of the same image. Because of the one-of-a-kind nature of these materials and their extensive use by researchers, the following policies apply to their duplication and use.
The University Archives provides photocopy (both standard and color) and scanning services for a fee, but reserves the right to restrict reproduction of its materials due to condition, size, or donor requirements.
Photocopy: The University Archives will photocopy materials for patrons. Please the list immediately below for fees:
- Standard (letter or legal size) Staff copying = $0.25 per copy
- Oversize (11x17, Staff copying only) = $0.50 per copy
Scanning: Materials can be scanned for patrons. Patrons are required to pay the cost of any copy negatives that must be made, and the negatives are retained by the Archives. Prepayment is requested for all reproduction services and required for all orders over $10. Scans will be available for pick-up in the Archives within 7 business days. For orders that are to be mailed, please allow 2-3 additional business days for arrival. With special permission of the University Archivist and as staff time allows, "rush" orders may be accepted for an additional per-item charge plus a $20 rush fee. University accounts can be billed directly. Please the list immediately below for fees:
- High-resolution scan = $5.00 per scan [600 dpi TIFF saved to CD or downloaded from ContentDm]
- From Microforms = $1.00 per scan
Service Fee: The University Archives charges a service fee for scanning orders.
- $10 per order (includes standard mailing)
- Waived for charges to OSU or OUS accounts
- The service fee is NOT applied to photocopy orders
Mailing Fee (applied when service fee is waived)
- $2.50 per standard mailing
- Actual cost for express mailing or large packages
- $5 per fax
Printing from Microfilm or Microfiche (letter size only)
- Staff printing = $0.25 per print

Archival materials are normally used only in the University Archives. However, in extraordinary circumstances and with special permission from the University Archivist, university departments and other organizations may borrow photographs for use outside the Archives for a pre-determined period. The borrower must provide for the security of the materials against loss or damage while they are out of the Archives and is required to use the materials with the same care and consideration that is practiced in the Archives. A "Receipt for Archival Materials" form will be completed by the Archives staff and signed by the borrower.
For photographic materials, borrowing is limited to duplicate prints and prints for which the Archives holdings include an original (camera) negative.
Permission to Publish or Display
The Archives encourages use of reproductions of Archives photographs in publications and public displays. However, permission must be obtained on the Archives' "Request for Permission..." form. Patrons are responsible for observing all U.S. Copyright regulations.
